Build a Grant Pipeline That Wins: A Stage-by-Stage System for Lean Teams

  • Mission fit with the funder's priorities

  • Funding amount vs. effort to apply

  • Eligibility (a clean yes or no)

  • Relationship or warm connection to the funder

  • Deadline feasibility given your current load


Here's a sample rubric you can use:

Score it (add up all five, out of 25):

  • 20-25 → Go: prioritize it and assign an owner now.

  • 14-19 → Maybe: pursue only if you have capacity after your "Go" grants.

  • Below 14 → Pass or pause: politely decline or revisit next cycle.

  • Automatic no-go: any Eligibility score of 1, regardless of the final total. (Scores of 2 and 4 can sit between the anchors above.)


Pursue the opportunities with top scores, and politely pass or pause the rest. Saying no faster is a strategy, not a failure, and it protects your hours for the grants you can actually win.


Stage 3: Get application-ready

Build a reusable content library so you're never starting a grant application from a blank page. Organize your mission statement, boilerplate, program descriptions, budgets, a logic model, and your most recent outcomes and impact stories. Funders increasingly reward clear evidence of results, so keep three to five core metrics current and ready to drop into any grant application.


Stage 4: Write with a real deadline system

Map every active opportunity to its submission date and work backward: first draft, internal review, final, submit-by. Never aim for the deadline day itself, but build in a three-day buffer. This will help avoid last-minute scrambles or missed deadlines.

Monitor the metrics that truly matter

You don't need a data team to understand your grant progress. At a base level, you just need three numbers:

  • Win rate (awards ÷ decisions), are you pursuing the right grants?

  • Value-weighted pipeline (expected dollars across active opportunities), is there enough in flight?

  • Effort-to-return, where is your time actually paying off?


These metrics will help you and your team understand the health of your pipeline and where to add or adjust your efforts.

  • Review your pipeline for 15 minutes every Monday.

  • Reuse and recycle: every application should feed the next.
